DEFINITION
Under the supervision of the Branch Manager, the
Yuba/Sutter Administrative Assistant will oversee office operations in the Marysville
FREED office and provide administrative assistance for the management staff.
ESSENTIAL
DUTIES AND RESPONSIBILITIES
Manage the office operations and perform
administrative assistance tasks, including:
á Assist the Branch Manager with
correspondence and support documentation to other agencies as required.
á Maintain the emergency
evacuation plan for the Marysville office.
á Maintain FREEDŐs legal
records, including business licenses for the Marysville office.
á Review and sort incoming
mail.
á Assist in the compilation of
statistical reports as requested.
á Assist staff with the
preparation of presentation and hand-out materials.
á Complete surveys from
various companies, agencies and government agencies.
á Maintain the bulletin boards
in the Marysville office.
á Assist with travel
arrangements for staff as requested.
á Recruit and interview
volunteers.
á Oversee bulk mailings.
á Oversee the maintenance of
the Y/S FREED mailing list, library, inventory and filing system(s) data bases.
á Design and produce
computerized flyers, press releases and other advertisement for FREEDŐs events.
á Assist with difficult
telephone and counter inquiries as well as screening calls when requested by
staff.
á Other office management,
secretarial or administrative assistant duties as
assigned.
á Provide I & R as needed.
á Maintain & keep up to
date I & R binders & information & organizational brochures in the
lobby.
á Receive donations and convey
to administrative office
á Fill out purchase order
forms and convey to administrative office. Order office supplies as requested
á Process timesheets &
submit to Administrative Office.
SUPERVISORY RESPONSIBILITIES
á In accordance with the
organizationŐs policies and applicable laws, directly supervises the Marysville
FREED Volunteers and the special program employees.
QUALIFICATION REQUIREMENTS
The requirements listed

á EDUCATION AND/OR EXPERIENCE
High School
graduate and two years experience in office management, grants management,
budgeting procedures and staff supervision. Secretarial skills are required as well as typing at a rate
of forty (40) words per minute.
á SKILLS
Ability to read,
analyze and interpret common financial reports and legal documents pertaining
to the operation of an independent living center. Ability to effectively present information to the Branch
Director, Executive Director and the Board of Directors.
á COGNITIVE SKILLS
The Administrative Assistant is regularly
required to be able to define problems, collect data, establish facts and draw
conclusions, recall details and be able to concentrate. Work requires the recognition of the
need for and the development of plans, methods and procedures or special
programs where regular policies do not apply.
á STRESS LEVEL
Moderate. This person is frequently expected to
think clearly in emergencies, complete work with deadlines, deal with interpersonal
conflicts, and work with frequent interruptions.
á OTHER SKILLS AND ABILITIES
Understanding the
concepts of independent living.
Ability to exercise initiative, ingenuity and sound judgment in
administrative, technical or personnel matters. Advanced computer skills in word processing programs,
spreadsheet and data base applications are required. Knowledge of Microsoft Office Professional, or an equivalent
program, is required.
á VISUAL REQUIREMENTS
Clear vision at
twenty (20) inches or less, be able to identify and distinguish colors, and be
able to
adjust the eye to bring an object into sharp focus. Reasonable
accommodation may be made.
á PHYSICAL DEMANDS
The physical
demands described here are representative of those that should be met by the
Administrative Assistant to successfully perform the essential functions of the
job. Reasonable accommodations may be made. The amount of weight to be lifted is not to exceed fifteen
(15) pounds, even for short periods of time.
á WORK ENVIRONMENT
The noise level
of the office working conditions is low to moderate.
Mostly indoors,
occasionally outdoors.
